Honorarium and Expense Reimbursement Information:

U.S. Citizen: Reimbursement of expenses and honorariums are permitted. Social Security Number is required for honorarium payments.
Alient Resident Cardholder: Reimbursement of expenses and honorariums are permitted. Copies of the Resident Card and Social Security Number are required for honorarium payments.
J-1 Visa Sponsored by Another Employee: Honorarium payments are only permitted if we receive an original letter of authorization from the visitor's sponsoring employer verifying that his/her visit to Notre Dame and the reimbursement of his/her expenses and/or honorarium payment is approved. (The letter is not required for expense reimbursement only.) Copies of the visitor's passport photo page, J-1 visa with date stamp, I-94 card, and DS-2019 form are required. As mentioned above, the letter of authorization from the J-1 sponsor is also required if an honorarium will be paid.
J-1 Visa Sponsored by Notre Dame: Reimbursement of expenses is permitted. Pre-planned honorarium payments are permitted. These are prepared for visitors who are staying at Notre Dame for more than 14 days. The department must prepare appropriate appointment paperwork and contact the Office of General Counsel to obtain a DS-2019, so that the visitor can receive an I-94 card upon entering the U.S. After arriving at Notre Dame, a copy of his/her passport, J-1 visa with date stamp, I-94 card, and the DS-2019 form are required. Please allow ample time for appointment and visa paperwork to be generated.
B-1 or W-B Status: Reimbursement of expenses is permitted, regardless of the length of the visitor's stay at Notre Dame. A copy of the visitor's passport, along with the completed and signed "Compliance Statement for Payments to Visitors in Business or Tourist Status" form, are required. For B-1 visitors, a copy of the visitor's visa and I-94 card are also required. Form 8233 - Exemption from Withholding on Compensation for Independent Personal Services of a Nonresident Alient Individual is required if the visitor is receiving an honorarium payment, is a resident of a country with which the U.S. has entered into a tax treaty that contains an exemption under an independent personal services article, and the visitor wishes to exempt the payment from federal and state income tax withholding. W-B or W-T waiver program countries are: Andorra, Australia, Austria, Belgium, Brunei, Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Iceland, Ireland, Italy, Japan, Republic of Korea, Latvia, Liechtenstein, Lithuania, Luxembourg, Malta, Monaco, The Netherlands, New Zealand, Norway, Portugal, San Marino, Singapore, Slovakia, Slovenia, Spain, Sweden, Switzerland, and United Kingdom.
B-2 or W-T Status: There are two critera that must be met for reimbursement of expenses and/or an honorarium payment: 1.) The visitor is engaged in the activity being compensated for any portion of nine days or less and 2.) The visitor has not been paid or reimbursed by more than five other U.S. institutions or organizations during the six months preceding his/her visit to Notre Dame. If these two criteria are met, the visitor can be reimbursed for expenses and/or given an honorarium. A copy of the visitor's passport, along with the completed and signed "Compliance Statement for Payments to Visitors in Business or Tourist Status" form, are required. For B-2 visitors, a copy of the visitor's visa and I-94 card are also required. F-1 Visa from Another University: Reimbursement of expenses is permitted for legitimate business purposes. Honorarium payments are not permitted. (However, there is an exception if the visitor has received an approval for OPT, Optional Practical Training, status.) The student should arrange to have his/her own university pay for the hotel and expenses, and Notre Dame will reimburse their university. A copy of their passport, F-1 visa with date stamp, I-94 card, and I-20 are required.
H-1B Visa from Another University: Reimbursement of expenses is permitted for legitimate business purposes. Honorarium payments are not permitted. A copy of their passport, H-1B visa with date stamp, I-94 card, and H-1B approval notice (I-797A) are required.
Canadian Visa: The visitor needs to obtain an I-94 card and request B-1 visa status when entering the U.S. (Presenting a copy of the Notre Dame invitation letter to INS officials as support when requesting the I-94 card will help this process.) A copy of the visitor's Canadian passport, along with the I-94 card with date stamp, is required.
