REGISTRATION INFORMATION FOR CLUB ADVISORS

The purpose of this web page is to introduce club advisors to the basics of the newly revised Undergraduate Club Registration Process. Should you have any questions about any part of the registration process, please don't hesitate to contact Mary Kate Havlik.

YOUR ROLE IN THE REGISTRATION PROCESS

To learn more about how the entire registration process works, visit the Club Registration Web Page. The following information is intended to provide you with "behind the scenes" information on how to manage an effective registration process...from an advisor's perspective.

As a club advisor participating in the revised process, you may feel a little confused about what your role is. To give you an idea, the club officers should be meeting with you at least twice in the spring semester. The first meeting will be sometime in February. At this time, they will be presenting you with the club's budget request, as well as a couple other forms to sign. The second time they will meet with you will probably be between February 26 - April 25. At this time, the club officers will need your signature on the Fall Officer Registration Form. One of the best ways to get a handle on the new process is to understand the paperwork you will be signing.

First and foremost, your role should be to advise the club's officers as they review their expenditures from the current academic year and draft a budget for the following academic year. If you have any questions about the club's financial standing, please don't hesitate to contact the Treasurer's Office or Student Activities Office.

Here are some things to look for in club registration forms you are signing:

  • Accuracy . Make sure the information is accurate (officers, contacts, etc.).
  • Completeness. Have they missed anything?
  • Your Signature. Please be sure you sign where needed. You should anticipate signing the following paperwork:
    • FEBRUARY REGISTRATION PAPERWORK
      • CCC Budget Request Form
    • APRIL REGISTRATION PAPERWORK
      • Student Organization Registration Form
FOLLOW-UP/CLOSURE

Following up with the club registration process can be a good way to provide closure for the academic year. If possible, schedule a meeting with the club's officers the first week in May. By then, they will have received the following: Student Activity Fee Allocation (from the CCC), concession stand assignment, and Activities Night table confirmation. With this information, you can start advising the club on how to proceed with the following year's administration.
