Reports
Due to the Sponsor
Documents
received from the sponsor at the time of the award will normally detail
the type and timing of required reports. The PI must monitor these requirements
to ensure reports are submitted on time. The Office of Research will
make every effort to notify the PI when a report for which he/she is
responsible is due. The PI is responsible for all technical reporting
while Research and Sponsored Programs Accounting will submit all financial
reports. The OR will work closely with the PI to complete invention reports.
Many sponsors (especially government agencies) will not provide additional
funds or award new awards to a PI who has an overdue report. To assist
the PI, the OR is in the process of automating a reporting notification
system.
Technical Reports - The timing and content of these reports will
vary a great deal among sponsors. Progress, annual, or final technical
reports may each require a different format and the PI must refer to
sponsor requirements before filing the report. A copy of all technical
reports should be sent to the Office of Research when they are sent to
the sponsor.
When the progress report also serves as a requirement for the next
increment of funding on a multi-year grant, the report should be processed
through the OR as a part of a proposal package. This would include
a routing sheet and budget along with the required report.
Financial Reports - Financial reports are prepared and submitted by
the assigned Accountant. If requests for financial reports are made directly
to the PI, coordinate all replies with the Accountant to ensure accuracy and
consistency of reporting.
Invention Reports - When required by the sponsor, invention reports
are normally due either annually, at the termination of the award, or both.
In most cases, these reports require the signature of the Vice President for
Graduate Studies and Research and should be processed through the Office of
Research. The PI is responsible for this final report. Contact the OR if there
are questions concerning timing or format for invention reports. It is very
important that these reports be submitted in a timely manner. Otherwise, future
funding from the sponsor will be jeopardized.
Other Reports - At times other reports may be required regarding purchasing
procedures and requirements of the University, University compliance with federal
or state requirements, equipment accountability, or other specialized areas.
Coordinate replies to these requirements through the Office of Research.
