Inventory Management

Central Receiving manages a small inventory of office supplies and hardware and personal protective equipment. These items can be ordered by departments via phone, fax or e-mail. The Central Receiving staff delivers small quantities on a daily basis, while larger quantities are delivered by General Services. Types of inventory items maintained by Central Receiving:

Central Receiving

Receipt and delivery of small parcels: Central Receiving receives small parcels on a daily basis via carriers such as UPS, FedEx and Airborne. These packages are processed and delivered the same day. Packages can be delayed if there is not enough information on the package to verify the location for delivery. Central Receiving makes every effort to gain the information as quickly as possible. When needed a call is placed to the vendor to gather the information.

Ordering procedure to assure timely delivery: When ordering either with a Purchase Order or ProCard the vendor needs to be instructed that the following information needs to be on the package:

Individuals name (that product is for)
Department name
Department address
Purchase order (if applicable).

Receipt and delivery of large parcels: Central Receiving receives large parcels via truck lines. Upon arrival, the product is inspected for visible damage to the packaging material. Once the product is received the department is contacted for the exact delivery location. General Services is then notified that the items are ready to be delivered. General Services picks up the product from Central Receiving and delivers to the department.

Shipping of items: Central Receiving assists departments in shipping small and large items to domestic and international locations.

For small parcels the department packages the item, fills out a Central Receiving pickup form (sample form) and attaches it to the product. They then contact Central Receiving either by phone or fax to have the package(s) picked up. The Central Receiving staff picks up the item and transports it to Central Receiving. The package is then processed and labeled for shipping via UPS. The packages are picked up by UPS at approximately 3:30 P.M. every afternoon.

For large parcels the department packages the items and fills out a Central Receiving pickup form (sample form) and attaches it to the product. General Services is then contacted to transport the item(s) to Central Receiving. Once the items are received at Central Receiving the item(s) are weighed, a bill of lading is generated and freight lines are contacted to pick the item(s) up.
