What if I don't want to replace my old copier?

We are not forcing anyone to replace their current copiers, however we believe the new program will provide you with a lower cost solution and newer technology.

Can I keep the old one for a backup?

No. It is in the best interest of the University to remove the higher cost, older technology from the available copiers on campus.

The old copier was purchased with "my money". What will happen to this copier now?

The copier is being salvaged and brokered through Xerox in collaboration with the NDSurplus Program. As with any older technology the salvage value of the old copier is minimal.

Will I be able to see the charges and how often will they be posted to my budget?

All charges will be posted to your budget (in arrears) on a quarterly basis for the actual copies you made during that time period.

Who decides what copier model is appropriate for my office/department?

A review will be done on old copier and its usage. Then we will recommend a Xerox copier that will best fit your needs.

Will I have print capabilities on the new copier/printer?

All copiers under this program will be print ready. If you have an active network connection, the copier can be connected and used to print from all the computers in your department. The advantage of printing to these devices rather than a desktop laser printer is the lower cost, access to finishing (like duplexing and stapling – for copiers 30 pages per minute and higher), and added convenience of having an onsite service technician.

Will I have fax capabilities on the new copier/printer?

Faxing is a standard feature on the M20i copiers under this program. For copiers between 30 and 55 pages per minute, fax capability is available but would be a separate purchased feature. The cost to add faxing is approximately $40 per month. Be sure to mention your need of faxing when calling Procurement Services.

Will I have scan capability on the new copier/printer program?

Scanning is a standard feature on the M20i copiers under this program. For copiers between 30 and 90 pages, scan capability is available but would be a separate purchased feature. The cost to add scanning is $34.40 per month. Be sure to mention your need for scanning capability when calling Procurement Services.

Where can I get more information on the new copier/printer?

All specifications and details on the new equipment can be obtained from Xerox’s website at www.xerox.com. The equipment installed under this contract includes:

  • M20 Minimum of 1,000 impressions per month
  • DC430 Minimum of 3,500 impressions per month
  • WCP35 Minimum of 5,000 impressions per month
  • WCP45 Minimum of 12,500 impressions per month
  • WCP55 Minimum of 27,000 impressions per month
  • WCP90 Minimum of 58,000 impressions per month.
10.

What if I have very light copying needs and do not meet the minimum 1,000 impressions per month?

There are light duty copiers that departments can purchase from Office Depot. To participate in this cost-per-copy program it requires at least 1,000 impressions per month. However, if you decide to participate in this program, you will be charged the minimum amount even if you don't meet the 1000 copies requirement. 11.

What is included under this contract?

All supplies including drums, toner, and staples are included except paper.

12.

How will meter reads be taken?

Once a month Xerox will either come by the department and read the meter or, if it is connected to the network, they may read the meter online.
