Constitution of the Orthodox Christian Fellowship Club of Notre Dame

Article I. Name of the Club

The name of this organization shall be the Orthodox Christian Fellowship Club of Notre Dame.

Article II. Purpose

The purpose of the Orthodox Christian Fellowship Club of Notre Dame shall be to foster healthy Orthodox Christian fellowship among the student members of this club. Ways to accomplish this purpose will include the following:

Article III. Membership

A. Membership is open and limited to any interested undergraduate and graduate students enrolled full-time at Notre Dame, Saint Mary’s or Holy Cross College.

B. Faculty and staff members may join the club as associate members which do not have voting rights and cannot run for office.

Article IV. Membership Fees

A. In order to be a member of the club, each student must pay the $5 annual membership fee by September 15.

B. Any other student who wishes to join the club after September 15 must also pay the $5 annual membership fee within 2 weeks of joining the club.

Article V. The Executive Board

A. The Executive Board shall consist of a President, Vice President, Secretary, and Treasurer.

B. At least half of the Executive Board must be Notre Dame undergraduate students, and all members of the Executive Board must be student members of the club.

C. The duties of the President shall be to preside over the meetings, to represent the club whenever necessary, to supervise and direct all club activities, and to call emergency meetings, whenever seen fit.

D. The duties of the Vice President shall be to assist the President in the supervising of club related activities, to carry out other duties assigned to the post by the President, and to take over the duties of the President when the President is unable to fulfill his/her duties.

E. The duties of the Secretary shall be to record the dialogue at meetings on operational matters involving all the officers, to maintain open communication channels with the Student Activities Office and other organizations, and to keep the club membership informed of upcoming club meetings and events.

F. The duties of the Treasurer shall be to keep up to date financial records of the club, to write up monthly summary sheets of the club’s financial transactions, and to present the financial records of the club when requested by University officials.

Article VI. Elections

A. Elections for the Executive Board will occur annually during a club meeting in January.

B. Separate elections for each office will occur one after the other, beginning with elections for President, then Vice President, then Secretary, and concluding with Treasurer. A club member will be able to cast one vote for each office. The member running for an office that possesses the most votes after the election will then assume his/her respective office.

C. Upon vacancy of any office, an election shall be held immediately to fill such a vacancy.

D. A quorum of members must be present in order to hold any election.

Article VII. Impeachment

A. When an elected officer is found deficient in his duties, he/she may be removed by a two-thirds vote at a meeting if a quorum is present.

B. The Executive Board and the Advisor must be informed one week in advance of a meeting if an impeachment is to take place.

C. A non-officer member will be appointed by a majority vote at the meeting for the purpose of overseeing the impeachment votes.

D. Upon impeachment, the ex-officer shall be required to hand over all materials pertaining to his/hers office in a timely fashion to the Advisor.

Article VIII. Advisor

A. The duties of the Advisor shall be to maintain communications with the Student Activities Office and aid the officers in the supervising of club operations.

B. The Advisor shall solely be an ex-officio member of the club, meaning that he/she shall not have any voting rights.

C. The Advisor shall be chosen annually by a consensus of the Executive Board.

D. The Advisor must be a full-time faculty or administrative staff member of either Notre Dame or Saint Mary’s.

Article IX. Meetings

A. Meetings shall occur at least once a month during the academic year, according to a schedule agreed upon by a consensus of the Executive Board.

B. The Secretary shall inform all club members of an upcoming meeting at least one week in advance.

C. A quorum of the club shall consist of 50 percent of the club membership.

D. The President shall call emergency meetings, and the Secretary will then inform the club members of the emergency meetings as soon as possible by notifying all club members by email.

Article X. Disbursement of Funds

The Executive Board and Advisor must approve all disbursement of funds before they occur.

Article XI. Amendments

A. Amendments to this constitution may be made by notifying the Executive Board one week prior to proposing an amendment.

B. Discussion of the amendment shall be at the next regularly scheduled meeting of the club.

C. Upon completion of the discussion, the amendment shall be voted upon by all club members present at the meeting.

D. A quorum at the meeting, and a two-thirds vote of the members present at the meeting shall be required to pass the amendment.

E. Once the amendment is passed, it shall be presented to the Student Activities Office as soon as possible by the Secretary.
