ACADEMIC
AFFAIRS AND STUDENT SERVICES POLICIES (March,
2007)
1. Controlling policies. The general
policies articulated in duLac,
the Law School's Hoynes
Code, and the Law School's Honor
Code apply to all academic matters at Notre Dame Law School.
Students shall familiarize themselves with these policies,
which are stated on the University and Law School web pages.
For additional useful information, please also see "The
Source" and The Graduate and Professional Student
Handbook.
2. Excused absences. Students
shall abide by the attendance policies articulated by individual
professors and instructors. In the event that a family
emergency,
medical necessity, or other urgent matter beyond a student's
control requires a student to miss class, the student may
request an excused absence from the Director
of Student Services by filling out a Request
for Excused Absence Form. Students may be required
to supply documentary or other support for their requests
for
excused absence. The Office of Student Services will notify
applicable professors of excused absences from their
classes.
Absences due to interviews or call-back interviews will not be excused.
3. Leaves of absence. The Assistant
Dean for Students must approve, at her discretion,
each request for a leave of absence from the Law School.
Generally,
half-year leaves of absence (particularly during the first
year of studies) are disfavored. Except for certain
extraordinary
cases, students must request leaves of absence before
registration for the semester at which the requested leave
would begin, and are responsible for making necessary arrangements
with the University
Office of Financial Aid and Student Accounts regarding
any student loans or scholarships.
4. Visiting at other law schools.
Permission to visit at another institution may be granted,
at the discretion of the Assistant Dean for Students, only
upon a showing of extraordinary circumstances. The number
of students permitted to
visit each year will be limited. Students who are permitted
to visit at other institutions forfeit
the usual benefits of enrollment at Notre Dame, including,
but not limited to, the ability to purchase student athletic
tickets.
5. Students with disabilities.
Law students seeking accommodations of physical or learning
disabilities shall consult at the beginning of each semester
with both the Students
with Disabilities Program Coordinator (Sara Bea Learning
Center, phone 631-7157) and the Director
of Student Services. These personnel will report
copies of the results of any previous testing for any
learning disabilities
and a listing of any past accommodations. Should a disability
circumstance arise, be discovered, or change during the semester,
students shall notify the Director
of Student Services immediately. Requests for accommodations
made just prior to examinations are disfavored.
6. Examination conflicts. The Director
of Student Services will reschedule examinations to the
next available non-conflicting date if one of the following
applies: (A) a student has two exams scheduled for the same
day, regardless of whether they are scheduled for the same
time; (B) a student has two exams scheduled in consecutive
exam periods; for example, a Monday afternoon exam and a Tuesday
morning exam; (C) a student has exams scheduled on three consecutive
days; or (D) illness or other urgent or compelling circumstances
arise. The Director
of Student Services may require documentation or other
support of the conflict or circumstance which necessitates
rescheduling. Students requesting a change in exam schedule
shall complete and submit an Exam
Schedule Conflict Form by the date specified on the form.
The Director of
Student Services may choose to disregard forms submitted
past the stated deadline. Students will be reminded of the
deadline each semester. No examinations will be administered
on or rescheduled for Sundays.
7. Final Exams During Inclement Weather. Final
exams will be held at the time they are scheduled unless
the University closes. The University normally announces
campus closings via Television and voice-mail broadcast.
Please also check your email for announcements. If the University
is not closed, but you cannot reasonably get to the Law School
safely, please contact: Peter Horvath,
Director of Student Services, (horvath.50@nd.edu;
574-631-5365) or Gail Peshel, Assistant Dean for Students,
(peshel.1@nd.edu; 574-631-7625).
8. Recording of classes. In exceptional
circumstances where absences from class will be prolonged
and can be anticipated in advance, students may make arrangements
to have their classes audio and, sometimes, video recorded.
Recording must be expressly approved by the professor of each
class to be recorded and by the Director
of Student Services. In the absence of these approvals,
recording of any kind is prohibited. Students without access
to an audio recorder may make arrangements with Janet
Rose of Law School Audio-Visual Services to borrow a recorder.
Students may request video recording of classes under this
policy; however, they should be aware that constraints on
available equipment and A-V Services personnel will restrict
the availability of this option. In all cases, students shall
be responsible for supplying batteries and blank tapes as
needed for recording. Students shall not request professors
to operate any recording equipment or to otherwise be responsible
for the details of the recording.
DISCRETIONARY
FUND POLICY Limited funding is
available from the Student Services Office to support extracurricular
student projects and activities. If you or your group are planning
an activity for which you expect you will need funds beyond
those you have in your account or can raise yourselves, you
may apply for supplemental funds. You should apply early; therefore,
you will have to plan your activities early. To apply for funds,
open the Supplemental Funds form
then print it and return it completed to the Director
of Student Services. As always, do not commit any funds
not presently in your account, and do not count on receiving
funds through this application process until you have heard
back in writing that you request has been completely or partially
approved. You will note that the application requires your advisor's
signature (if on behalf of a student organization). Please involve
your advisor in the process of planning your activities.

FOOD AND BEVERAGE
ORDER POLICY Organizations and
groups that need to order food or beverages in for an event
should plan to front the costs and then submit an itemized receipt
to the Director of
Student Services. Once some basic paperwork in completed,
the money will be transferred to you from your organization's
account in a short time. In the case
of very large orders only, the Student Services Office can place
a fax order for you and have it charged directly to your organization's
account (if there are sufficient funds in the account). To do
this, you must submit a request in writing at least two days
before your event. Charging orders without the permission of
the Director of Student
Services is prohibited.

LAW SCHOOL STUDENT EVENTS AND ORGANIZATIONS
POLICY (August, 2001)
1. Controlling policies. The general
policies articulated by duLac,
the University Office of Accounting, the University Student
Activities Office ("SAO"), and other Law School
departments apply to all students, including Law School students.
This includes, but is not limited to, the University's alcohol
policy. All students shall familiarize themselves with these
policies, which are stated on the Notre Dame webpage. In the
case of a direct conflict with policies and procedures of
the SAO, this Policy controls.
2. Contracts require approval.
Students may not contract for products or services on
behalf
of the Law School or any student organization without express
permission from the Director
of Student Services or, in his or her absence, the
Assistant Dean for Students. This includes but
is not limited
to restaurants, office suppliers, legal journal publishers,
and campus offices such as Catering by Design. Students who
violate this provision may be held personally accountable
for the financial and other obligations they incur. When
purchasing
goods from off-campus vendors, students are encouraged to
use purchase orders where possible, in order to obtain the
tax-exempt organization discount. Purchase orders may be
obtained
from the Office of Student Services.
3. Student events: approval, scheduling,
and financial responsibility. In order to hold a
student event in the Law School or elsewhere on campus,
students shall
complete a Law School Calendar
Event Submission Form and obtain the approval of the Director
of Student Services.
If necessary approval is not obtained, the event may be
cancelled
and reimbursement or payment of associated
expenses may be declined.
4. Student
travel on Law School business. Whenever students travel
on Notre Dame business, they must complete the liability waiver
form available at http://www.nd.edu/~sao/forms/liabilitywaiver.pdf
and provide copies both to the Director
of Student Services and the Office of Student Activities.
This includes, but is not limited to, any travel related to
student organizations or journals as well as moot court and
other competitions. Student travel expenses cannot be reimbursed
if the form is not turned in before the travel.
5. Student travel for school-related activity. Whenever
students travel for student functions or events, they must
complete the "personal vehicle waiver" form (available
http://www.nd.edu/~sao/forms/persvehicle.pdf)
and provide copies both to the Director
of Student Services and the Student Activities Office
6. Budgets
and event funding. Student organizations are responsible
for funding the events they plan and attend. Each organization's
budget is monitored by the Director
of Student Services. From time to time, funds beyond
those in an organization's account may be available from
the Student
Organizations Discretionary Fund. Organizations may be granted
additional amounts from the Discretionary Fund upon detailed
application to the Director
of Students Services. However, funds should not be committed
on the mere expectation of an award from the Discretionary
Fund, and students who make financial commitments beyond
their organizations' budgets shall be personally responsible
for
any shortfall.
7. Annual
registration of student organizations. Student organizations
shall register annually with the SAO
to maintain their active status. Registration occurs each
spring after officers have been elected for the coming year.
Organizations which have not registered shall not enjoy club
status or use club funds.
8. Contact
with alumni. Student groups may work with the Law
School Relations Office to contact alumni who were members
of a
particular
organization to involve them in organization activities,
or to find alumni to serve as speakers, mentors or networking
contacts. Students must receive from the Director of External
Relations and the Director
of Student Services advance approval for any communication
they intend to send to alumni.
9. Solicitation
of donations prohibited. Students may not solicit
alumni or other groups for donations to the Law School
or to specific
organizations. Should an unsolicited gift be made through
a student, it shall be brought to the Law
School External Relations Office for processing
through the University's system. Such gifts then will
be
credited to the student organization's
budget, if appropriate.
10. Publicity,
printed materials and press releases. Students or
student organizations wishing to have their events
publicized must
provide complete information - including a valid account
number - through the Law
School External Relations Office at least three
weeks before the materials are needed. Students shall
comply
fully
with all requirements stated in
this Policy before work shall be done on any such materials.
Complete press release information must be provided
to the
Law School Relations Office at least two weeks before the
date of the event. As with posters, programs and other
printed
material, students shall comply fully with all requirements
stated in this Policy before any press release will
be issued.
11. Posting in the law building.
This policy has been implemented to clarify procedures
for
the posting of law-related signs, posters, and other notices
in the Law School building. No official approval for the
content
of law-related posters is needed; however, poster content
is governed by duLac and
the general rules relating to student conduct at Notre
Dame (anti-harassment policies,
etc.).
Students
may
post any signs, posters, or other notices on assigned
bulletin boards on the ground floor of the law building.
Nothing may be posted on non-assigned bulletin boards,
walls, pillars, and doors on the ground floor, or in stairwells
or on any other floor of the law
school.
In
particular, students
are reminded that the glass cases and posting spaces outside
classrooms are for official law school notices and not
for
student postings.
12. Continuing legal education ("CLE")
sponsored by student organizations. To qualify for
CLE credit, an event must have substantial legal or
ethical content
and be taught by a professional (i.e., not student presentations).
If in doubt about the content, check with Law
School External Relations. To advertise that continuing
legal education credit is available to those who
attend, students shall provide
the Law School Relations Office with the information necessary
to secure such credit (generally, a two- or three-sentence
description of the program and short biographical material
on the presenters) no later than two months in advance
of
the event. Should any fees be required in connection, the
student organization shall pay them. The event must
be scheduled
on the Law School calendar according to the procedures in
this Policy before any work will be done toward securing
CLE
approval form states.
