Frequently Asked Questions
Q: What is the difference between Campus Employment and Federal Work-Study?
A: Campus Employment is a non need-based form of student aid. Students with Campus Employment are eligible to work on campus.
Federal Work-Study is a need-based form of employment subsidized by the federal government. Students with Federal Work-Study are eligible to work on campus and at participating community service agencies.
Q: Am I required to participate in one of the University’s employment programs?
A: Employment is not required. However, if you prefer not to work, you may choose to obtain outside scholarships and/or student loans to replace your work eligibility.
Q: Will a job be assigned to me?
A: It is the student’s responsibility to secure employment. You may start your job search by visiting the JOBboard.
Q: Are the jobs listed on the JOBboard the only jobs available?
A: The JOBboard is updated regularly as new positions become available. If you are interested in working for a particular department and do not see an employment opportunity listed, please feel free to contact that department directly to inquire about possible employment opportunities.
Q: Can I hold more than one job?
A: Yes, students may hold more than one position at a time; however, students must balance their time so they do not exceed 20 hours per week during the academic year.
Q: How many hours per week can I work?
A: Most employed students average 10 – 12 hours of work per week. You may work a maximum of 20 hours per week at an on-campus or community service job(s). You may work up to 40 hours per week when classes are not in session.
Q: What documents should I bring to campus if I plan to work?
A: Students planning to work at Notre Dame should be prepared to present the required original, signed, and unexpired document(s) to their employer (e.g., valid passport OR driver’s license AND social security card) to complete the Form I-9. For a complete list of acceptable documents, please review the Form I-9.
Federal law prohibits the University from accepting facsimiles or photocopies of these documents.
Q: What documents will I need to complete with my employer?
A: All student employees must comply with federal employment laws and regulations. If you are interested in working while on campus, you should be prepared to complete the following employment forms with your hiring department before beginning employment:
- Form W-4
- Form WH-4
- Form I-9
- Direct Deposit Election Form
Q: How will I get paid?
A: Student employees are paid for hours worked via direct deposit to a bank account. Pay stubs are available for viewing and printing by logging into insideND. As an hourly employee, you will be paid biweekly.
The Bi-Weekly Payroll Calendar can be viewed on the Payroll website.
For additional information regarding direct deposit or the payroll calendar, please contact the University’s Payroll Office at (574) 631-7575. If you are interested in having a portion of your pay deposited directly into your University account, you should contact the Office of Student Accounts at (574) 631-7113.
Q: What if I do not want to work during the fall semester?
A: If you decide not to work in the fall, you may still apply for jobs in the spring. While opportunities for work may be somewhat limited, starting mid-year is an option.
Q: Will my Campus Employment or Federal Work-Study eligibility be replaced with other financial aid while I am studying abroad?
A: Students may receive additional student loan eligibility to offset their work award while studying abroad.
Q: Where/When will I receive my Form W-2?
A: The Form W-2 is mailed out annually from the Payroll Department. All forms are mailed out by January 31st. In addition, you may view your Form W-2 online through your insideND account.
Q: Are students subject to FICA tax withholdings?
A: Students enrolled full-time are exempt from FICA tax withholdings.
Q: Do you hire SMC and Holy Cross students?
A: The Office of Student Employment employs Notre Dame Students. If you are interested in working for the University of Notre Dame, please visit the Human Resource website.
