Hiring Procedures On-calls/Temps
- The first step is to have them fill out an application online at http://jobs.nd.edu. They will click on 'Create Application' on the left and fill out the application completely. (If hiring for only the summer term, please make sure to have them fill out a ‘Summer Application’)

Once on-line application is complete, contact Jenny Borg (1-3578) with the
following information for the candidate you wish to employ. This information will be used in order to conduct a background check on the candidate.
- Full Name
- Address (City, State, Zip, County of Residence)
- Social Security Number
- Date of Birth
- Upon being notified by Jenny of completion of a successful background check (usually takes 3-5 days), the hiring manager should notify Jenny of the new hires' start date and pay rate so that she can process the necessary paperwork in order to set up the new employee in the system with a position.
- The Hiring Manager will then notify the employee that they are eligible for hire and will direct them to HR in order to fill out the following forms:
- Federal Taxwitholding Form W-4
- Indiana Taxwitholding Form W-4 OR
- Michigan Taxwithholding Form W-4
- Federal Form I-9
- Authorization Agreement for Automatic Deposits
5. Each new employee will then be responsible for bringing their completed paperwork to HR, 200
Grace Hall or going there to fill it out prior to their first day of work. This way Human Resources
can assure that everything is filled out correctly and completely.
6. Once all the above steps are complete the employee is now eligible to begin working.
*Please remember that the new employee will not be allowed to start work until completion of all these forms has been done and turned into the Office of Human Resources at 200 Grace Hall.
Hiring Procedures Notre Dame Students
New Students:
When intending to employ Notre Dame Student Employees, it is necessary for the potential student employee and their hiring manager to complete the following steps only if they have never been employed anywhere on campus before:
1. Email or call Jenny Borg, jborg@nd.edu, 1-3578, and let her know the name of the student employee who will be working for you as well as their start date and pay rate. At this time, instruct the employee to either go visit Jenny in her office or email her in order to set up a time to meet in order to fill out the appropriate paperwork.
2. The employee will need to complete the following forms to be employed:
- Federal Taxwitholding Form W-4
- Indiana Taxwitholding Form W-4
- Federal Form I-9
- Authorization Agreement for Automatic Deposits
Jenny will then send the appropriate paperwork over to Student Employment and typically the student employee should appear in Ultratime within the next 5-7 days after the paperwork is completed.
Returning Students:
If the student has worked anywhere on campus before all that is needed is an e-mail or memo to Jenny with the student's name, NetID, and pay rate prior to the semester they will be employed. Please provide this information to Jenny no later than 3 weeks prior to the semester start date.

will be allowed and therefore this MUST be completed on-line prior to employment)
2. Once on-line summer application is complete, contact Jenny Borg (1-3578) with the
following information for the candidate you wish to employ. This information will be used
in order to conduct a background check on the candidate.

**Please remember since they are a ‘Summer’ employee they will automatically term out of the system on or around 8/21 each year.

2. Once these forms are completed they should be delivered to Jenny along with a memo with the student's pay rate and start date. Jenny will then send the appropriate paperwork over to HR and typically the employee should appear in Ultratime within the next 5-7 days.
(If you plan on retaining the student for he Fall semester please notify Jenny as soon as possible)
